DTAH is hiring an Office Administrator:

DTAH is an award winning, multi-disciplinary design firm located near Yonge and Bloor in Toronto We are seeking an enthusiastic, detail-oriented and highly motivated individual to join our team for the position of Office Administrator. DTAH prides itself on a studio working environment that is stimulating, collaborative, supportive and conducive to high-quality work. This position is critical to keep the office running smoothly and happily on a daily, weekly and monthly basis.

The ideal candidate has exceptional organizational and communication skills, shows strong initiative, a willingness to consult proactively and a proven ability to efficiently manage tasks through to completion.

Office Administrator Responsibilities:

  • Office Reception:
    • Greet visitors in a professional manner
    • Respond to all incoming calls and direct/relay messages as necessary
    • Responsible for mail, courier/shipping services – both incoming and outgoing
    • Perform general office duties (typing, filing, etc.)
    • Provide administrative support as required
  • Office Building Management:
    • Coordinate with building owners and maintenance service providers
    • Ensure all common areas within the building remain tidy and organized
  • Office Systems Management:
    • Maintain office supplies and liaise with vendors
    • Maintain office equipment (plotter, computers, photocopiers, printers, phones)
    • Manage/coordinate office IT systems – computers, hardware, software, printers/copiers, back-up, with assistance from contracted IT specialists as needed
  • Office File Management:
    • Set up and maintain files according to established systems, liaise with accounting
    • Manage required security clearances, records and secure filing
    • Manage office archiving systems – digital, hard copy, file retrieval
  • Calendar / Events Management:
    • Coordinate and assist with internal and external business meetings and events
    • Manage office social and professional events, in consultation with partners and staff
    • Manage travel arrangement and calendars (scheduling appointments, meetings, etc.)

  • Excellent communication skills, both verbal and written
  • Ability to multi-task effectively, think proactively and work to deadlines in a fast-paced environment
  • Computer skills with proficiency in Microsoft – Word, Excel, Outlook and Powerpoint – advanced computer skills with respect to systems management and trouble-shooting an asset
